This Privacy Policy applies to the Wapzio Website, Wapzio Dashboard, APIs, WhatsApp Platform Integrations, CRM, AI Features, and all associated Automation Services provided by Anantkamal Software Labs.

Account & Contact Info

WhatsApp & Meta Data

  • Meta Business Info: Business Manager ID, WABA ID, Phone Number ID.
  • Communication Data: Message templates, chat history, broadcast records.
  • Customer Data: Your customer contact lists uploaded to the CRM.

Operational and Technical Data

We also process data generated through your use of the Wapzio platform:

  • CRM & Automation: CRM records, tags, AI configurations, prompt structures, and automation workflows (Webhooks, API events).
  • Campaign Data: Delivery rates, read receipts, engagement metrics, and analytics.
  • Billing Information: Transaction histories, subscription plans, and partial payment details (handled securely via third-party processors).
  • Technical Logs: Browser information, IP addresses, device types, cookies, session information, and usage statistics.

2. How We Use Your Information

We strictly limit the use of your information to the purposes necessary for providing the Wapzio platform.

Wapzio acts solely as a data processor. We only process data strictly to provide services as instructed by you through the platform dashboard or API.


5. Data Security

Enterprise-grade security is foundational to Wapzio. We implement rigorous technical and organizational measures to protect your data.

Encryption

We use AES-256 Encryption for data at rest and TLS Encryption for data in transit. Access tokens are fully encrypted.

Access Control

Strict Role Based Access Control (RBAC), multi-factor authentication (MFA), and automated audit logs.

Infrastructure

Hosted in Secure Cloud Storage behind enterprise firewalls with continuous security monitoring.

Resilience

Routine backups, automated disaster recovery plans, regular security reviews, and updates.


6. Data Retention

We retain your data only for as long as your account is active or as needed to provide you services and comply with legal obligations.

  • Messages, Contacts, and CRM: Retained indefinitely while your workspace is active, unless manually deleted by your admins.
  • Logs and Audit Logs: Retained for a standard security period (typically 90-365 days depending on the plan) before automatic deletion.
  • Deleted Workspaces: All associated data is purged within 30 days of permanent workspace deletion.
  • Backups: Encrypted backups are maintained for disaster recovery and are automatically cycled and overwritten.

7. Data Deletion

You have full control over your data lifecycle.

  • Granular Deletion: Customers can request or execute contact deletion, message deletion, and campaign deletion via the dashboard.
  • Account Deletion: You can initiate a full workspace or account deletion at any time.
  • Data Export: You may request a complete data export before initiating the permanent deletion process.

8. Cookies

We use cookies and similar technologies to ensure the platform functions correctly and securely.

Essential Cookies: Required for the basic functioning of the dashboard.
Security Cookies: Used to authenticate users, prevent fraudulent use, and protect data.
Session Cookies: Maintain your login state as you navigate across the platform.
Preference & Analytics Cookies: Remember your settings and help us understand usage to improve the product.

  • Meta & WhatsApp Business Platform: For message routing, template approvals, and business account management.
  • Cloud Hosting: Secure infrastructure providers (e.g., AWS, GCP) for application hosting and database storage.
  • Payment Providers: Secure gateways (e.g., Stripe, Razorpay) for processing subscription billing.
  • Email & Analytics Providers: For delivering system notifications and analyzing application performance.

Note: Third-party services operate under their own respective privacy policies. We ensure all providers adhere to strict data security standards before integration.


10. DPDP Compliance

Wapzio is fully compliant with the Digital Personal Data Protection Act 2023 (DPDPA). We act responsibly to protect personal data and uphold digital privacy rights.

As a Data Fiduciary and Processor, we ensure that you and your customers have the right to:

  • Access: Request access to the personal data we hold.
  • Correction: Correct inaccurate or incomplete data.
  • Deletion: Erase personal data when it is no longer required.
  • Withdrawal of Consent: Easily withdraw consent where processing is based on consent.

We maintain a dedicated Grievance Process. Users can raise concerns directly to our designated Grievance Officer via our contact channels.


11. International Data Transfers

When processing data internationally, Wapzio ensures secure transfers complying with standard contractual clauses and international privacy frameworks, ensuring your data maintains its protection regardless of physical location.

12. Children's Privacy

Wapzio is a B2B enterprise platform intended strictly for businesses. Our services are not directed to, nor do we knowingly collect personal information from, children under the age of 18.


13. Customer Responsibilities

As a Wapzio customer, you share in the responsibility of maintaining data privacy:

  • Keeping Credentials Secure: You must protect your passwords and not share access tokens.
  • Obtaining Customer Consent: You are strictly responsible for obtaining opt-ins from your contacts before sending WhatsApp messages.
  • Maintaining Accurate Information: Keep your billing and business information up to date.
  • Complying with Meta Policies: Adhering to the WhatsApp Commerce and Business Policies.
  • Following Applicable Laws: Ensuring your campaigns comply with local marketing and privacy laws.

14. Changes to Privacy Policy

We may update this Privacy Policy periodically. When significant changes occur, we will communicate these updates through an email notification to account admins and by displaying a prominent notice within the Wapzio dashboard prior to the changes taking effect.
